For consultants and agencies

QA consultants, regulatory advisors, fractional Heads of Quality and TIC readiness agencies can apply for a Partner Practice Code. You either manage clients as brands in your own Scale or CMO account, or the client pays directly and invites you as a QA reviewer or admin at no seat cost. All billing runs through Paddle, and COA Proof sends consultants no payments. This is not legal or regulatory advice.

Dietary supplements

For supplement brands, COA Proof checks the conditions for relying on a COA under 21 CFR 111 and works out USP <2232> and Prop 65 exposure at your serving, and a named person decides each lot. It does not run a skip-lot program for you, and it checks documents, not products.

Amazon TIC brands

For Amazon brands, COA Proof shows what a TIC review is likely to ask about before you submit: test coverage, label claims, daily exposure at your serving, and what the file’s own record shows. The TIC still runs its own review, and COA Proof is not affiliated with Amazon.

Peptides and regulated materials

For licensed or FDA-registered buyers, the regulated module checks HPLC purity, identity and net content per vial, and compares chromatograms across lots. It opens only after a license or FDA-registration check. These materials never get a public page, and a research-use-only COA is a blocker in 503A mode.

Cosmetics and personal care

For cosmetic brands, a starter template checks total aerobic count, named organisms, lead and mercury against limits you can edit, and raw materials and finished batches stay as separate products. Under MoCRA the safety record stays yours: COA Proof checks documents and keeps the decisions you can add to it.

What COA Proof does

COA Proof reads lab certificates of analysis, checks them against your specifications, scores signs of tampering, records who released each lot, and can publish a batch page with a QR code. It checks documents. It does not test products.

COA Proof is not a laboratory

COA Proof is not a laboratory. It never tests, certifies or approves a product. It reads the report your lab issued and checks it against the specifications you set. A named person at your company makes every release decision.

Reading the lots table

Each lot shows one status: Passed, Failed with the reason, Needs review, Missing, or Flagged. The cards above the table count all lots, released lots, quarantined or flagged lots, and lots waiting for a decision. Open a lot to see the COA beside the findings.

Open Lots

Why a lot says Needs review

Needs review means the documents cannot settle a rule, so a person decides. Common causes are a limit of quantitation above your maximum, a unit that cannot be converted, or a missing serving weight. A reading is accepted automatically only when two reads agree at 0.95 confidence or higher; otherwise you confirm it against the PDF.

Open Review

Duplicate chromatogram and other flags

A flag means something on the document looks wrong, such as a report ID, chromatogram or file already seen on a different lot, or a PDF edited after signing. A flag is a reason to look closer. It does not prove forgery. While a high signal is open, the lot shows as blocked; dismissing a signal takes a written note of at least 10 characters.

Lab-confirmed and document-checked

Document-checked means COA Proof checked the report against your specifications, and the lab has not confirmed it directly. Lab-confirmed also needs one of: a validated PDF signature, mail from the lab that passes DMARC or aligned DKIM, a lab API under a written agreement, or your reviewer confirming it on the lab’s own page.

Release, quarantine or reject

Open the lot and choose Release, Quarantine or Reject. Nothing releases itself. Releasing over open findings, or a lot on hold, takes a written reason of at least 20 characters, and a note for quarantine or reject takes at least 10. Your name and reason stay on the record.

Open Review

Building a specification

Each product has one active spec. Use the table to set each test’s limit, unit and accepted method, or start from a template. Saving makes a new version. Older versions stay on record, and decided lots keep the evaluation they were decided on.

One-click templates

Templates cover Amazon Dietary Supplement TIC Readiness, California Prop 65 Safe Harbor, USP <2232> Elemental Contaminants, USP <2021>/<2022> Microbial and 21 CFR 111 Dietary Supplement. You answer only label facts, such as serving weight and servings per day. Every value stays editable. They are starting points, not legal advice.

Open Products

California Prop 65

The Prop 65 template works out daily exposure from the result, serving weight and maximum servings, then compares it with the safe-harbor level (lead 0.5 µg/day). You choose whether going over fails the lot, as a no-warning policy, or only flags that a California warning is needed. Ask your counsel what your label needs.

Amazon TIC readiness

COA Proof is not affiliated with Amazon. Amazon takes supplement verification only through its approved testing, inspection and certification companies, and it publishes no numeric limits. COA Proof can tell you a file looks Ready for TIC review, which shows gaps before you submit. The TIC and Amazon make their own decisions.

The free pre-check

The free pre-check needs no account. Upload one finished-product COA, or try a fictional sample lot, to see what a TIC reviewer is likely to ask about, and what the file’s own record shows. You get 3 checks a day, files are deleted after 24 hours, and nothing goes into the registry, so reused chromatograms are only compared inside a workspace.

Supplier upload links

Add a supplier, choose Create upload link, and copy the link straight away: it is shown once, and only a hash is stored. Your supplier needs no account. Links expire, can be revoked at any time, and have a daily upload limit. Supplier chase emails stay off until you turn them on in Settings.

Open Suppliers

Forwarding COAs by email

Upload on the Lots page, or forward COA emails to your workspace’s own address, shown in Settings. Attachments go into the queue and the message body is ignored. Repeat files are recognised and not counted twice.

Open Settings

Lab-direct intake

Give your lab the lab-direct address from Settings. Mail that comes from a registered lab domain and passes DMARC, or DKIM aligned to the From address, can reach lab-confirmed. SPF alone never counts. A validated PDF signature can also confirm a report.

Open Settings

Public batch pages and QR codes

After a named person releases a lot, you can publish its page. Each lot gets a short link and a QR code you can download as an SVG, and the code never changes. Withdrawing a page makes the same QR open a notice. Pages are for dietary supplements, cosmetics and food ingredients only, and never for a COA that says research use only.

Open Pages

Shopify and storefront embed

The Pages screen has copy-ready snippets. Any website takes the script tag, and Shopify takes it as a Custom Liquid section or a link from a product page. Shoppers type a lot number and open that lot’s page. The widget sets no cookies. It is included from the Growth plan up.

Re-verification calendar

Add a product with its ASIN or SKU and the date you last verified it. It falls due 365 days later, with email reminders 60, 30 and 7 days ahead to owners, admins and QA people. If something changes, press It changed, and it falls due straight away.

Plans and prices

Starter is $199 a month with 1 brand and 30 COAs. Growth is $349 with 1 brand and 120 COAs. Scale is $599 with 3 brands, and extra brands at $99. CMO is $1,499 with 15 brands, extra brands at $79, and white-label pages. Paying yearly costs 10 months for 12.

Monthly COA and scan limits

Files that are not COAs do not count. At your monthly allowance, an upload is refused, and files from mail and supplier links are kept unread until there is room. A QR scan is never refused and a live page never changes. Past 120% of your scan allowance, publishing new pages pauses until you upgrade or the month turns.

The free trial and the demo

The live demo needs no sign-up: it opens a private workspace of fictional brands and results, for 2 hours. The free trial lasts 14 days with Starter’s limits. There are no sales calls. If you run 10 or more brands or are a contract manufacturer, the walkthrough page has a form for a short video reply.

Cancelling and maintenance mode

Cancel from Settings, under Billing. It takes one screen, and no reason is required. Your plan runs to the end of the paid period, and then live pages are archived, so QR codes open a notice. Maintenance mode keeps live pages for $49 a month. Closed accounts are deleted after 180 days.

Refunds

You can have a full refund within 14 days of any payment, for any reason. Paddle is our merchant of record and processes refunds: use paddle.net, the link on your receipt, or open a ticket here.

Brands, team and client access

Manage brands and invite client users in Settings. A client user sees only the brand they were invited to. Starter and Growth include 1 active brand. Scale and CMO bill extra brands, and white-label pages need CMO.

Open Settings

Your data and security

COAs are kept in a private bucket, and each workspace can read only its own rows. Documents go to Anthropic’s API for reading, and under its commercial terms they are not used to train models. The forgery registry stores fingerprints, not your files, and those fingerprints stay after an account is deleted.

Installing the app

Use Install app in the top bar or in Settings. Chrome, Edge and Android install in one click. On iPhone or iPad Safari, tap Share, then Add to Home Screen. The app needs a connection to show your documents, because they are not stored on the device.

COAs that land on the wrong product

A COA finds its product by the name on the report, and its lot by the lot number printed there. If no product has that name, a new draft product is created on the spec you chose at setup, or marked Missing on Products if you chose none. While a file is waiting in Review, you can correct its product and lot before confirming. An accepted COA cannot be moved to another product yet.

Open Products

Blurry or multi-page scans

A scan is read twice from its image. If the two reads differ, or the file cannot be read, it waits in Review, and nothing is filled in by guesswork. You can correct the values and confirm, try reading again, or ask the lab for a clean PDF. A multi-page report is read as one, but ask for one COA per lot rather than several lots in a file.

Open Review

Audit trails and records

Every release, quarantine and reject records a named person, the date and the reason, under On the record on the lot. Spec versions stay in Version history, and supplier qualification and identity tests are recorded too. These records support your quality system and do not replace it. Your QA lead or counsel decides what an inspection needs.
